Background

   1.   An elderly employee was less than truthful regarding her timing in and then
         attending to personal matter, and doing the payroll herself, failed to deduct
         her undertime

   2.  A staff mentioned about her previous employer (not a nice topic when we
       are enjoined to observe FAR

  3.  An elderly staff discussed generically about cash advance, but the topic assigned was about revolving fund and pcf.  not a good communication or initiative to research

  4.  An elderly staff answered that we do not have system!!??

  5.  Closed mind talaga isa pang elderly:    injecting her agenda despite a prescribed
        agenda

What to do:

    1.  Practice SUNNAO.   Empty your cup.   Nothing will be poured into your cup if
        its full.

    2.  Observe ABCD DOCTRINE

         ACCEPT

        COOPERATE

        DANCE WITH THE MUSIC

   3.  LISTEN

       How can we achieve our goal and be successful when certain people are hell
       bent on disagreeing (rather than agreeing)  right even the conversation starts

    4.  A SYSTEM IS IN PLACE

      Many new hires comment in a similar manner as we have heard today:  But that is 
      being objected to vehemently by this post.  No effort has been spared to 
      strengthen our system by documenting this properly at:

      1.   MC
      2.  Handbook
      3.  Admin plans
      4  Memoranda
      5.  Gmeet and  and seminars /workshop

      The only problems lies in:

     1.  Closed mind
     2.   Lack of ABCD, FAR, 3fold duties
     3.  Living in the past:   mentioning past jobs always.  (They can always return
          to previous employers if they are so endeared)

   5.  ENJOINING BETTER COMMUNICATION BY MONITORING APPOINTING SOMEONE TO CHECK ON COMMUNICATIONS.   Ms Tina please monitor

OUR MANTRA ON COMMUNICATIONS

Memorandum

TO   :  All

SUBJECT  REMINDER ON OUR MANTRA FOR COMMUNICATIONS

Background:

     1.  We are a community
     2.  Corporation is an association of friends
     3.  Cellphones are keys window to the world to the market via sms, calls, dm
         etc.
    4.  We are interdependent and we need and supply things to the world
         We need to be interconnected
    5.  We need to respect the stakeholders, part of our principles


   This post notes the following violations

    1.  Not answering kasi di charged ang phone;
    2. Not answering especially from JUS
    3.  Promising to call back not so;
    4  No id for the caller, sender
    5.  No text reports, not reading gmails


Rules natin for communications: (AS PER OUR HANDBOOK)   CP use;    



SOME COMMUNICATION MUSTS / PRACTICES:  (Often neglected disobeyed)


A.  Cellphones
a.  Keep it charged always – especially company cellphones;
b.  Visit a signal full place once a day to communicate with HO / SBU;
c.  Delete unnecessary messages to allow new message to come in / be registered.
d.  Limit text/call to official business.
e.  Have someone in-charge of the cellphone.
f.  Respond to all OB (official business) text messages PROMPTLY!
     1.  If you have travel itinerary, inform HO / SBU wherever you are –text your location.  It is a  must in the travel permit, and it is good for security reason.
     2.  If you reach the destination, inform HO / SBU. If you are in your way back inform HO / SBU. Inform your boss the following:
         a.  Results                    
         b.  What transpired
   c.  File the necessary report / minutes as soon as you arrive at the HO / your office.
3.  Texting

   a.  Use correct English and correct spelling
   b.  Be clear on what you what you want to communicate to be done
   c.  Clarify to whom the message is intended to.

   d.  Texting can be a powerful tool for marketing ie text blast;
   e.  Use this well for birthday greetings and anniversaries
   f.  Quotes are good way of showing that you care and connected with 
       customers
g.  UNDERSTAND before replying. Try to answer all the concern in the text
                  h.  Identify yourself either as sender or receiver.
                  i .  Index the text message you are replying to to avoid                                      misunderstanding
                 i.  Be specific to what to do with message 5W1H when action                          is requested. A simple received by is a no no for                                             instructions/problems.   (copy or noted -  reserved
                      for the Boss)

We cant order on the contrary.

Process: HR Communications - COMPREHENSIVE POST ON COMMUNICATIONS

What:   MORE EMPHASIS TRAINING ON COMMUNICATIONS

1.  OBJECTIVES:

       1. To speed up the pace;  remove hindrances and red tape

       2.  To  promote Principle #2, iet efficiency and effectiveness

       3.  To save time and money

Background:

1.  Communications is the channel by which strategy, thoughts and directions of top management are relayed to the troops;  it is also through which problems are made known upstairs.  Strategy and customer complaints melt down all policies and structures and as such improvisation and adjustments must be made quickly

2,   We are kept together by communications.  Communications is the glue that keep us together.  It is the means by which learning, vision is shared.  No communications;   no shared vision, strategy and learning

3.  In PLOCC, the acronym, the last C is communication.  Communication is an essential part of management.

4.  In our performance evaluation to emphasize its importance, 10 points is given to communication

5.  We subscribe to cp, to internet to promote communications.  We spend huge amount for cellphone and computers.  We blog, we do facebook groups to make sure that we are well understood.  We spend a lot of time doing these.   

6.  And what do we see:

      1.  Blog posts at communications are not read;    comments which are required of everyone are not made.;  some do not post the required posts in blog

      2.  Emails text messages are seldom if not answered.

      3.  Instructions are not well understood even at the highest level (as in the CMO one on one)

      4.  If they fail to understand, then there is non compliance which leads to insubordination, corruption as in the case of a southern SBU

      5.  We have angry customers;  we have employees who say they are demoralized.

      6.  Our sales and collection are falling\

WHAT TO DO NEXT?

1.  Communicate, communicate communicate:   call text email sbus daily the importance of communication

2.  Orient, train probies very well.

3.   Do am talk daily

4.  We have team building once a year;  or even quarterly

Process: HR Better communications and training challenge

                      2.  Gain more ambassadors satisfied customers and such is achieved only by
                           customer service excellence --->> excellent communications
                     

Reality:    1.  We are having difficulty communicating
                 2.  Since sales and marketing are 60% communications, our sales are practically nil or declining

Subject:  Strategy for Clear Communication

Objective:

1.  To come out with quality products and services
2.  To encourage staff to read and respond to memos and GMails
3.  To achieve constantly:

       1.  Results
       2.  Changes in behavior
       3.  Learning

Background:

 1.   Many unanswered gmail. memo
 2.  Many mistakes delays wrong processes made
 3.  Inaction
 4.  Communication should result in any of the 3 

      1.   Learning
      2.  Changed behavior
      3.  Outcome:    more sales, collection, happy customers
 5.  We mistake communication to be:     newer cp or laptop, faster wifi

      but it should come out of desire to be a community united by a single
      purpose and mission.

  6.   Submission

        Good communication takes place when the members of the community
         care for the welfare of the group and ADHERE to:

         1.  FOCUS
         2.  ATTENTION
         3.   REVERENCE

  7.  Blocks to good communication:

      1.  Pride - alam ko na iyan; of self rightnousness, of being in previous job
      2.  Negative attitude/mindset from chismis and grapevine; detractors
      3.  Prejudice  - anti management or anti business outlook
      4.  Closed mind.   
      5.  Lack of good education
      6.  Lack of listening skills.

STRATEGY FOR IMPROVED COMMUNICATION

     This is a repetition.  Learned from PMAP and ETIOP seminar on public speaking

      The key is repetition.  A message that has been sent several times and clarified  is more likely to be        remembered.  Some experts have culled stat that it takes 7x before:
                    1.  A subordinate gets it  (verbal, with rewards and punishments
                    2.   Custoner gets it on the 8th try and may likely to buy 

       (THIS IS THE SAME AS GUIDELINES FOR TRAINING

         1.  Explain what is to be done:    process, standards, and timing
         2.  Show them how to do this
         3.  Let them do this)

     1.  Tell them what you need to explain  via:

           1.  Title
           2.  Tags,
           3.  Explanatory note, introduction, synopsis

     2.  Explain fully what you need to tell them, detailed via video or pictures, diagrams
           when ever possible, supplementary gmail, excel  diagrams process flow

           Employ the 6 soldiers of communication  5 wh and 1h

           Repeat when ever there seems to .stumbling block

   3.   REPEAT NO 1 AND NO 2

         1.  Verify -  ask them  what you have told them (can be supplanted by an  exam)
               In their own words, ask them to repeat what you have just told them

        2.  Ask for minutes

            (You will be surprised with the answer. 

       3.  Ask for action plans with 5H and 1W 

 Let us do number 3 for a start.   

         This is the best way to train.  It cant be sink or swim    You have to be patient wih the trainee                   (even if all ready experienced) They are not familiar with our systems and environment. 
          We have to on board them with our system.  That is why have HR:   onboarding, orientation
        On the Job Training

       It cant be a sink or swim methodology.  Its the best way to drown overwhelm a trainee on which
        you and the office spent a great deal of time and resources to recruit -  and which you strongly
         recommended to hire and now is utterly competent and is discouraged!   What happened.

Subject:     Getting things done

1.  Our important role is getting things done.  Do not let days go by or let the sun set without any accomplishment or improvement of yourself or the site

     Report on your achievements;  do not let your boss find about this.  and then
    complain.  It pays to give regular reports

2.  Focus more on the opportunities rather than problems;   opportunities, revenues first before mga pasaway;

3.  Begin the day on positive note:   "'THE  BEST IS YET TO COME"  Things will be better;  hard headed people will eventually relent to obey and cooperate unless we are taking care of scorpions who will remain scorpions no matter what dress they wear

4.  Be inclusive find the 14 other squares.   Do not look at the world from your small limited corner;  Understand your job and responsibilities.  Do not let your
 boss find out that you are not.   

5.  Do not stop especially when you think you have met a dead end, and the only answer you can give is WALA PO.   The world is full of possibilities.  If the Genie can give you your 3 wishes, the Universe can give you infinitely more.  It is true that the Universe has you in mind.  The Universe was created for you.

6.  Communicate, communicate, communicate:

    1.  Look as was ordered before at your  email,, whats app   DAILY EARLY
         IN THE MORNING or late in the evening
    2.  Contact the sender or the caller if  you missed the call or text;
    3.   Replying to text or email heightens your integrity, respect factor;  doing
          otherwise destroys your character
    4.  If a reply is requested; reply avoid arguments if it is otherwise;
    5.  Call or text:

         1.  If you receive a message that you missed;  Not answering would
              mean any of the following:

            1.  You are negligent in maintaining your communications equipment
            2.  Your communication abiliity  is suspect
            3.  You are not reliable or trustworthy
            4.  You do not understand your job
            5.  You are committing insurbodination

         2.  If you want a resked or clarification

         3.  Excuse yourself from a telecom/coon
              leaving the telecon;

        4.  Do not keep your boss or subordinate  guessing

        5.  FB or chismis is not the best way to get action positive response
             on your grievance;   you may be charged for cybercrime or that may
             have meant burning your bridges.   You may meet your bosses or
             employer later on.   Be on good terms with all people
