Discussion about the company’s Vision, Mission, and the areas that need improvement. The meeting also focused on the mistakes and problems that happened, what should be corrected, and how to prevent the same crisis from happening again.
Vision
The company’s Vision is to become a leader in the memorialization business and to provide meaningful and affordable memorial services.
The team was reminded that all employees should work toward the company’s goal of providing quality services while honoring lives and memories.
The Vision should serve as a guide in making decisions and improving the company’s services.
Mission
The company’s Mission is centered on “Honoring Lives, Honoring Memories.”
The company aims to provide meaningful and quality memorialization services and to remember loved ones in a special way and in a special place.
The Mission also focuses on:
- Providing quality and meaningful memorial services.
- Providing affordable services to clients.
- Giving proper assistance to families during difficult times.
- Creating job opportunities.
- Continuously improving services for clients.
The team discussed that every employee should understand the Mission and apply it when dealing with clients and performing their daily responsibilities.
Company Beliefs and Values
The following values were discussed as guides for employees:
1. Customer Service
Clients should always be treated with respect, understanding, and professionalism. Since clients may be experiencing difficult times, employees should be patient and helpful when handling their concerns.
2. Excellence
Employees should always do their best and make sure that their work is done properly. Important tasks should be checked before they are finalized.
3. Learning
Employees should continuously learn from their experiences, especially from previous mistakes. Mistakes should be used as lessons to improve future performance.
4. Change
The company should be open to changes that can improve the work process and services. If a process is no longer effective, it should be reviewed and improved.
Improving Previous Mistakes
The team discussed the mistakes and problems that happened in the workplace. Some problems may have been caused by a lack of communication, coordination, and proper checking before tasks were finalized.
To improve this, everyone should be more careful with their work.
Important documents, schedules, requests, and client concerns should always be checked properly before being finalized.
If a mistake is noticed, it should be reported and corrected immediately. Problems should not be ignored or left until they become bigger.
Communication
One of the main areas that needs improvement is communication.
Instructions should be clear, and everyone involved should be updated. If there is something unclear, employees should ask questions instead of making assumptions.
To avoid misunderstandings:
- Confirm instructions before taking action.
- Give updates to the concerned people.
- Ask questions when something is unclear.
- Document important instructions and concerns.
- Make sure that everyone involved receives the correct information.
Handling Client Concerns
The team also discussed the importance of properly handling client concerns.
When a client has a concern, it is important to understand the complete situation before giving an answer or solution.
The following should be done:
- Listen carefully to the client’s concern.
- Check all the necessary details.
- Do not give information if you are not sure.
- Coordinate with the right person or department.
- Give the client updates regarding their concern.
- Make sure that the concern is properly documented.
This will help avoid misunderstandings and maintain the client’s trust.
How to Prevent the Crisis from Happening Again
1. Report Problems Immediately
If someone notices a possible problem, it should be reported immediately to the concerned person or management.
Problems should not be ignored until they become bigger. It is easier to solve a problem while it is still manageable.
2. Proper Planning
Before making an important decision or taking action, the task should be planned properly.
The following should be clear:
- What is the problem?
- What should be done?
- Who is responsible?
- What possible problems may happen?
- Who should be informed?
Proper planning can help avoid unexpected problems and crises.
3. Double Checking
Everyone should make it a habit to double-check important matters, such as:
- Documents
- Client information
- Schedules
- Requests
- Job orders
- Approvals
- Important instructions
No important task should be finalized without proper checking.
4. Proper Documentation
Important concerns, instructions, and approvals should always be documented.
This is important because:
- There will be a record to review when there is a concern.
- It can help avoid misunderstandings.
- Employees can track what has already been done and what is still pending.
- It can help prevent the same mistakes from happening again.
5. Accountability
Everyone should be responsible for their assigned tasks.
When a mistake happens, it should be accepted and corrected immediately. The important thing is to learn from the mistake and make sure that it will not happen again.
The focus should not be on blaming others, but on understanding what caused the problem and finding a better way to prevent it in the future.
